For truck drivers and owner-operators

Accounting for truck drivers and owner-operators

IFTA, per-diem meals, truck write-offs and HST, all on one file and kept current from the road. Company driver, owner-operator or small fleet, incorporated or not, we take you.

Owner-Operator package from [$149]/month
  • Company drivers
  • Owner-operators
  • Small fleets

Which driver are you?

Company driver (T4).

You may still be able to claim meals and lodging on long-haul trips. Your employer signs a TL2 form; we handle the rest.

Owner-operator.

You run your own business: truck payments, fuel, insurance, repairs, plates and HST. We keep the books and file everything.

Small fleet.

Drivers on payroll or as contractors, multiple trucks, IFTA across several units. We handle payroll, remittances and your year-end.

What we handle

  • IFTA fuel tax returns, quarterly, for trucks running across provinces or into the US
  • Per-diem meal claims, calculated and documented so they hold up in a review
  • Truck write-offs: capital cost allowance (CCA) on your tractor and trailer, or lease payments
  • HST: registration, returns and input tax credits on fuel, repairs and equipment
  • Every expense: fuel, tolls, insurance, maintenance, plates, permits, parking, phone, ELD subscription
  • Bookkeeping, kept monthly so nothing piles up while you're on the road

Meal claims for long-haul drivers

Long-haul truck drivers can deduct a bigger share of meal costs than other businesses: 80%, compared with 50% for most others.

You qualify for trips that keep you away for at least 24 hours over long distances.

You can claim actual receipts or a simplified flat rate per meal, but either way you need a logbook showing your trips. We'll set you up with a simple way to keep it.

Incorporated or not, we take you

Some firms only work with incorporated trucking companies above a revenue minimum. We don't. Sole-proprietor owner-operators are exactly who we built this package for. When incorporating starts to make sense, we'll tell you, and handle it. See incorporation.

How it works when you're on the road

  1. Step 1: Snap and send.

Photo of each receipt from your phone [confirm: app / WhatsApp / upload].

  2. Step 2: We do the books monthly.

Fuel, repairs and settlements categorised and reconciled.

  3. Step 3: Quarterly filings.

IFTA and HST filed on time; you get a one-line summary of what was paid.

  4. Step 4: Year-end.

Your tax return (or T2) is filed from books that are already done.

FAQ

Can I claim my truck?

Yes, through capital cost allowance if you own it, or the lease payments if you lease. Both have rules; we apply them for you.

Do I need to charge HST?

If your revenue is over $30,000 in four quarters, yes. Most owner-operators are registered and claim back the HST on fuel and repairs.

I drive for a company but pay my own expenses. Can I claim them?

Possibly, if your employer signs a T2200 or TL2. We'll tell you what applies.

I'm behind on my IFTA and HST. Can you catch me up?

Yes. We rebuild the quarters from fuel receipts and settlements and file them together.

Do you work with drivers outside the GTA?

[confirm]. Most of the work can be done remotely.

Can you talk to me in Tamil?

[confirm].
